TradeLinkers for gas engineers

Landlord checks, boiler services and breakdowns on one job list

TradeLinkers gives gas engineers one place for boiler services, breakdowns and landlord gas safety checks. Save each rental as a property with tenant, landlord and access notes, attach the gas safety record as a PDF so the landlord or agent gets it in their portal, and invoice the agent from your phone with your bank details on.

How it fits the trade

What changes when a gas engineer runs the paperwork on TradeLinkers

Gas safety records the landlord can find

Attach the landlord gas safety record to the job or the property as a PDF. The landlord or agent gets an email and can download it from their portal, which means fewer "can you resend the CP12" emails.

Tenant, landlord and access on the property

Each rental keeps the tenant's name and number, the landlord's details and access notes such as "collect keys from the office" or "tenant works nights". It's all on the job when you arrive.

Rebook when the tenant isn't in

No answer at the door? The reschedule sheet moves the visit to a new day and can email the customer, or use the quick +1 day button. The job keeps its notes and history wherever it moves.

Invoice the agent, not the tenant

Make the letting agent or landlord the customer and the rental the property. They get a numbered PDF invoice with a due date, your bank details and a payment reference, and you can see when they've opened it.

Engineers on their own logins

Invite your engineers by email and assign each one their visits. They work from a My jobs list, mark the job done on site, and you send the invoice from the office or the van.

Breakdowns from the booking link

A customer with no heating fills in your booking link and picks Emergency. It lands as a New Enquiry job, you get a push notification and an email, and they get a confirmation email.

Example invoice

What a gas engineer's invoice looks like

Billed to the letting agent, with the flat in the job title so their accounts team can match it. The gas safety record goes on the job as a PDF, and the agent gets an email to say it's there.

Example figures to show the layout, not a price guide. Your own prices, business details, bank details and VAT setting go on the real thing.

Questions from the trade

Straight answers

What does a landlord gas safety record have to include?

HSE lists it: a description and the location of each appliance or flue checked, the engineer's name, registration number and signature, the date of the check, the property address, the landlord's (or agent's) name and address, any safety defect found and the action taken, and confirmation that the required safety checks were carried out. It used to be called a CP12.

TradeLinkers doesn't produce the record. Complete it as you do now, then attach the PDF to the job so the landlord or agent has it in their portal.

How often do landlords need a gas safety check?

Every 12 months, by a Gas Safe registered engineer. Since 2018 the check can be done up to two months before it's due and still keep the original deadline date. Landlords must give existing tenants a copy within 28 days of the check, give new tenants one before they move in, and keep records for at least two years.

TradeLinkers doesn't book repeat jobs, so next year's check is a new job, but the property keeps the earlier records together.

Do I have to notify building control when I fit a boiler?

In England and Wales, yes. A new gas boiler is notifiable building work. A Gas Safe registered business notifies it through Gas Safe Register, the local authority gets the record, and the homeowner is sent a Building Regulations Compliance Certificate. Gas Safe Register's guidance gives 30 days from completing the work. Scotland and Northern Ireland have different notification rules.

Attach your commissioning paperwork to the job in TradeLinkers so it sits with the invoice and the customer can download it.

Should a boiler service and a gas safety check go on separate lines?

Yes. They're different jobs: the gas safety check is the annual check the landlord is legally required to have, while a service is maintenance on the appliance. Separate lines let the agent see both were done and charge each to the right budget.

In TradeLinkers, type each as its own line, add any parts you fitted, and put the flat or house in the job title so the agent can match the invoice to the property.

What TradeLinkers does not do yet

  • No gas safety record or service sheet templates. Complete them as you do now and attach the PDF.
  • No repeat jobs, so next year's landlord check is booked as a new job.
  • No SMS. Customer updates go by email, or open WhatsApp from the job.
  • No card payments built in. The invoice can carry a QR code for your own pay link.
